Preston Harriers – Your Privacy (Child Friendly Version)

What this notice is about

When you join Preston Harriers, we need some information about you so we can help you train, race, and be part of the club.
We promise to look after your information, keep it safe, and only use it for the right reasons.

What information we collect

We may ask for things like:

• Your name and date of birth
• Your address, email, and phone number
• Your EA (England Athletics) club
• Your gender
• Sometimes health information (for example, if you have asthma or an allergy)

We collect this from you or from your parent/guardian.

Why we need your information

We use your information so we can:

Help you train and compete

• Let coaches know who is coming
• Enter you into races and competitions
• Share your details with team managers and race organisers

Look after you

• Keep you safe during training
• Use health information if there is an emergency
• Help with safeguarding children and people at risk

Run the club properly

• Sort out membership and payments
• Send you club news
• Share race results on the website
• Ask you to fill in club surveys

Tell you about club kit or fundraising

We only send this if it’s helpful for members.

Who we share your information with

Sometimes we need to share your information with:

• England Athletics (you are registered with them when you join)
• Race organisers and other clubs
• Safeguarding teams if we need to keep someone safe
• Emergency services if something serious happens
• Membermojo (our membership system)
• Thrive Digital (our website and email provider)
• Google (because our club uses Google Forms)

We only share what is necessary, and we keep it safe.

How long we keep your information

• We keep your information while you are a member.
• If you leave, we delete your information after four years.
• Race results stay on the website forever.

Your rights

You can ask:

• What information we have about you
• To change it if it’s wrong
• To delete it (but then you might not be able to be a member)
• To stop us using it in certain ways

Keeping your information safe

We use secure systems and passwords to protect your information.
We do not use computers to make automatic decisions about you.

Social media

The club has Facebook, WhatsApp, X and Instagram pages.
If you join them, remember that those companies have their own privacy rules, not ours.
